Who looks after your information

Derrick Charles, trading as DC Dent Repairs in Selby, handles enquiries about mobile dent repairs. For privacy questions or requests, contact contact@dcdentrepairs.co.uk or call 07462 371491.

When you get in touch

The callback form asks for your name, email address and phone number. If you contact me through WhatsApp, Facebook or email, you may also share a postcode, vehicle details and repair photos. I use this information to answer your enquiry, assess a repair, arrange work and communicate with you. These uses support steps you request before a contract, and fulfilment of an agreed repair.

Please avoid including people or unrelated personal information in repair photos. Information needed for invoices or other legal records is handled to meet applicable legal obligations.

Keeping the form and website working

IONOS hosts the website and processes technical request information such as IP addresses and access logs. The form uses a hidden field and submission limits to reduce unwanted messages. The limits store hashed versions of the submitting IP address and email address with request times in private server storage. These are pseudonymous identifiers, not anonymous data.

Submission limits use a rolling one-hour window. Older entries are removed when another valid submission reaches the limiter; they are not guaranteed to disappear exactly one hour later. This processing supports the legitimate interests of keeping the service secure and usable.

Who receives information

Form details are passed to my business email inbox, hosted by IONOS. IONOS processes website and email information to deliver these services. Choosing WhatsApp, Facebook, Instagram or Google links takes you to another service with its own privacy arrangements. Social media and Google review widgets are not embedded on this website. Fonts and repair photos are served from this website.

Website statistics

I use IONOS SiteAnalytics, provided with the website hosting, to understand visitor numbers, pages viewed, sources of visits and general browsing patterns so I can improve the website. IONOS says SiteAnalytics does not use cookies and anonymises visitors’ IP addresses directly after transmission.

The statistics include the requested page or file, referring website, browser and operating system, device type, access time and approximate location derived from the anonymised IP address. On this hosted website, statistics are provided through server request logs; no Google Analytics script or advertising tracker is installed.

This supports my legitimate interest in understanding and improving the website. For details, see IONOS’s SiteAnalytics data-processing information.

Cookies

This website does not set analytics or advertising cookies, or save analytics consent preferences in your browser. External services reached through links, such as WhatsApp, Facebook and Google, have their own cookie and privacy arrangements.

How long information is kept

For enquiries that do not lead to a booking, I keep your contact details and repair information for up to 12 months after our last contact, to deal with follow-up questions or a return to the same repair enquiry. I delete them sooner when they are no longer needed. If a complaint or legal matter requires specific records to be kept longer, I retain only what is necessary for that purpose.

If an enquiry leads to work, I retain the relevant correspondence for as long as it is needed to carry out the repair, handle follow-up questions or complaints and meet record-keeping obligations. Invoice and accounting records are retained for the periods required by applicable tax law. Records needed for a dispute are kept until that matter and any applicable claim period have ended. These purposes are assessed separately from unsuccessful enquiries.

Hosting and email backup copies follow IONOS’s service retention arrangements. Statistical reports are used to compare website performance over time. You can contact me for more information about the records relating to your enquiry.

IONOS states that visitor data processed by its web hosting service is stored for eight weeks. This period refers to hosting visitor data, not enquiry emails or all statistical reports.

International processing

IONOS states that its web-hosting visitor data is not transferred outside the EU. Hosting and business email are provided under IONOS’s data-processing arrangements; details are available in IONOS’s privacy information. External messaging services explain their own international processing in their privacy notices.

Your choices and rights

Depending on the circumstances, you can ask to access, correct or delete your information, restrict its use, object to processing based on legitimate interests, or receive a portable copy. Contact me using the details above.

You can also complain to the Information Commissioner’s Office (ICO). You do not have to contact me first.
